Adherence to the 7 Core Principles (UK GDPR Article 5)
All personal data processed across biovertexa.com is governed by the seven fundamental principles enshrined in the UK General Data Protection Regulation:
Data is processed lawfully, fairly, and with total operational transparency toward the data subject.
Collected solely for specified, explicit, and legitimate commercial e-commerce purposes and not further processed incompatibly.
Adequate, relevant, and strictly limited to what is necessary in relation to the purposes for which they are processed.
Accurate and kept up to date; reasonable steps are taken to ensure inaccurate records are rectified or erased without delay.
Kept in a form permitting identification of data subjects for no longer than is necessary for the purposes for which it is processed.
Processed securely, incorporating protection against unauthorized or unlawful processing, accidental loss, destruction, or damage.
Biovertexa UK is explicitly responsible for, and able to demonstrate full verifiable compliance with, all six principles listed above.
Lawful Bases Under UK GDPR Article 6
We ensure that all data processing operations are mapped to a legitimate statutory ground:
- Contractual Performance (Art. 6(1)(b)): Necessary to process sales, fulfill delivery consignments with DPD/Royal Mail, and administer manufacturer warranties.
- Legal Obligation (Art. 6(1)(c)): Preserving commercial accounting invoices for 6 years under the UK Taxes Management Act 1970 and complying with age verification under the Offensive Weapons Act 2019.
- Legitimate Interests (Art. 6(1)(f)): Defending website security against DDoS attacks, mitigating payment fraud, and optimizing catalog load performance.
- Consent (Art. 6(1)(a)): Explicit, opt-in consent gathered for commercial marketing newsletters, revocable at any time with one click.
Subject Access Requests (SAR) & Data Subject Rights
UK residents have extensive legal rights regarding their personal information. Biovertexa UK maintains a standardized operational procedure for handling all data subject inquiries:
- Right to Access (SAR): Request a complete copy of all personal records held about you. Delivered free of charge in an accessible digital format (CSV/JSON/PDF).
- Right to Rectification: Immediate correction of inaccurate, outdated, or incomplete account data.
- Right to Erasure (“Right to be Forgotten”): Deletion of personal records where data is no longer necessary, subject to statutory statutory tax retention requirements.
- Right to Restriction & Objection: Right to object to direct marketing or pause data processing pending dispute resolution.
- Right to Portability: Machine-readable transfer of your account data to another provider.
Technical, Operational & Cybersecurity Controls
To satisfy Section 66 of the DPA 2018 (Security of Processing), our IT infrastructure incorporates multi-layered technical safeguards:
- Cryptographic Standards: 256-bit TLS 1.3 protocol encryption for all web sessions, and AES-256 encryption at rest for customer databases.
- Role-Based Access Control (RBAC): Server and database access is restricted strictly to authorized logistics and customer service personnel on a least-privilege basis.
- Multi-Factor Authentication (MFA): Mandatory two-factor authentication enforced on all administrative, database, and payment portal accounts.
- Firewalls & Intrusion Detection: Enterprise Web Application Firewall (WAF) filtering malicious injection, automated bot crawls, and cross-site scripting attempts.
Data Retention & Secure Disposal Schedule
In adherence to the Storage Limitation principle, data is purged when its operational and legal lifecycle expires:
| Data Category | Statutory Basis | Retention Period | Disposal Method |
|---|---|---|---|
| Order Invoices & Transactions | UK Taxes Management Act 1970 | 6 full financial years | Cryptographic erasure |
| Customer Accounts (Dormant) | UK GDPR Storage Limitation | 3 years since last login | Automated database wipe |
| Customer Support Inquiries | Quality & Dispute Resolution | 2 years from ticket resolution | Purged from ticketing hub |
| Marketing Opt-In Tokens | PECR Consent Framework | Until opt-out / 24 months max | Immediate unsubscribe purge |
Third-Party Processors & Data Processing Agreements (DPA)
We strictly govern every third-party service provider acting as a Data Processor under Article 28 of the UK GDPR:
- Mandatory Data Processing Agreements (DPAs): Enforced with all hosting providers, courier carriers (DPD, Royal Mail, Parcelforce), and payment gateways (Stripe, PayPal).
- Prohibition on Secondary Data Use: Processors are legally barred from using customer information for their own commercial advertising or secondary data profiling.
- International Transfers: Where data crosses UK borders (e.g. cloud infrastructure), transfers are governed by UK International Data Transfer Addendums (IDTA) or UK adequacy regulations.
Personal Data Breach Management & Notification
Biovertexa UK maintains a 24/7 Security Incident Response Plan designed to detect, contain, investigate, and notify data breaches under Section 67 of the DPA 2018:
- 72-Hour ICO Notification: In the event of a breach likely to result in a risk to individuals’ rights and freedoms, we notify the Information Commissioner’s Office within 72 hours of awareness.
- Customer Notification: If a breach poses a high risk to personal rights (such as financial or credential compromise), affected individuals are informed directly and without undue delay with mitigation instructions.
- Internal Breach Register: All security incidents, irrespective of whether they meet the threshold for regulatory reporting, are logged in our internal compliance register with root-cause remediations.
Employee Accountability & Security Training
Human error is a primary attack vector in cyber resilience. We enforce strict organizational measures across all staff:
- Mandatory data privacy onboarding training for all warehouse fulfillment, customer service, and technical personnel.
- Regular simulated phishing drills and credential rotation enforcement.
- Contractual confidentiality undertakings and strict disciplinary measures for unauthorized data disclosure.
